Photoxpress_3572892

With GrooveIT! for Microsoft Office SharePoint you can easily recover all your documents loaded onto BPOS. You can take the opportunity to work on your documents in offline mode whilst mobile!

Also note that there is SSO (Single Sign On) for BPOS users. This system allows you to connect only once to your suite "Business Productivity Online Suite" for the duration of your Windows session.

So with BPOS SSO*, here is how easily GrooveIT! for Microsoft Office SharePoint allows you to work off line:
  1. Click on "Documents SharePoint Offline” button in Internet Explorer,
  2. Click on "Ok" to confirm the download of your SharePoint document library and the name given to this Groove workspace,
  3. In Groove, click the "Synchronize now" button to download and store the documents locally.

There is no longer the need to manually configure the "SharePoint Files" tool in Microsoft Office Groove. The three steps above will have all your work stored locally and safely (with default Microsoft Office Groove encryption): Easy and fast!

Manage "unstructured" information: a critical issue for businesses

Photoxpress_2228937 In our everyday life, all work documents such as files, emails, discussion threads, videos, etc. that are not stored centrally, but are saved to personal areas (email boxes, hard drives, written documents, etc.), can be thought of as "unstructured" information. According to an IDC survey: "by 2010, the amount of information in the “digital universe” will approach 1 trillion gigabytes, and 85% of this will be managed by organizations. The lion’s share of this information is "unstructured" information." Provide agile solutions to manage business (strategic) information

A prerequisite for businesses to be in a position to manage most of its information is to convert individual inputs into collectively shared data. This being said, it means that organizations need to:
  • Drive their employees to consider sharing information as a natural behavior. This can be achieved through training programs addressing subjects such as change management and collaborative best practices.
  • Provide the right tools that will allow everyone to easily and securely share information in a managed way. Enable online and offline collaboration with tools such as Microsoft Office Groove, SharePoint, Outlook or other collaboration tools. Make the interaction between the various tools easy for users.

For instance, Outlook emails and attachments can be easily shared within Groove collaborative workspaces using GrooveIT! for Microsoft Office Outlook or SharePoint file libraries’ content can be easily taken offline using GrooveIT! for Microsoft Office SharePoint.

Manage information life cycle to capitalize collective knowledge

A project typically begins with a lot of unstructured information that becomes more organized as the project progresses. Completed projects will be archived so that they can be found when needed again. Organizations are looking for solutions that enable them to manage information at each stage of its life cycle. Successful information management includes access management, secure information transfer using the internet, backup and archiving management throughout the entire information life cycle. Various collaboration solutions will be used during a project life cycle; people involved may work at the office, may be mobile perhaps working from home and will interact with others both from within and outside the organization.

Organizations are facing the challenge to control and manage a huge amount of data representing the work value created.  In brief, how to protect Intellectual Property assets: sum of know-how, products, concepts, etc... Actually, in an economic downturn, what organizations need most is to capitalize on their own assets, be able to face unexpected situations and adapt rapidly, mobilizing the right people at the right places. At HOMMES & PROCESS, we have always believed people must be able to work efficiently wherever they are and that organizations must be in a position to capitalize on its knowledge in a secure way. That is why our solutions are designed to fulfill both these needs.

Work from home, a contribution to sustainable development and a solution to improve employees’ flexibility

Copie de Photoxpress_7527559 500 kg Carbon per employee per year, this is the average ecological cost of the working masses according to a recent study.

According to this study, working from home one day per week can appreciably decrease the ecological footprint. How to manage an increasing need to reduce ecological footprint of each of us and business productivity and security?

Working from home efficiently

Appropriate tools and solutions such as Office Groove 2007 implemented in a managed way enable distant work using the usual office environment: emails, files, contacts etc.. Communication and collaboration with colleagues from home remain as secured as in the Office.

Benefits for the companies

Businesses that look ahead and actively manage their ecological risks and opportunities can gain a strong competitive advantage.
Home offices contribute to reduce carbone emissions: no need to spend hours in cars or trains everyday to go to the office. The time people do not spend travelling to the office can be dedicated to other activities whether personal or professional. The companies which promote the work from home see their fixed charges decrease: smaller office spaces necessary as consequence rent, electricity, heating bills are reduced. Companies where employees work from home at least one day a week see their employee with less stress and an increased motivation.

Benefits for the employees

Testimonial Philippe Benard, Support Manager

  1. Do you think working from home can help you be more efficient ?

  2. First of all, work from home enables me to better manage my schedules. It is easier to make myself available when our customers need it most. For instance, when I have an urgent question at the end of the day, I can work on it without constraint when I work at home, as I do not have to come back from the office and pick up my children at school. When working on complicated issues, I can immediately implement my ideas.

  3. For you personally which are the benefits of working from home?

  4. Working from home, I am available for privileged moments with my two children: I can pick them up from school and spend an hour with them for lunch – I do not have to pay for school lunch or babysitting. Less time travelling to the office also means being less tired and save an appreciable amount of money! Moreover, it is easier for me to manage school holidays.

  5. Do you consider work from home as a social advantage?

  6. Work from home is certainly a big advantage for me. First of all, it reflects the level of trust your company puts in you, which is essential to love you work. For me it is obvious that companies that are enabling work from home for their employees see their turnover decrease a lot.

  7. According to you, what must be taken into account in a business environment to enable work from home?

  8. Working from home can have some disadvantages: employees can find themselves isolated from the company, feel less involved in the company as a result be less committed to the company.
It is important to continue to go to the office at least one day a week to maintain social contacts within the organization. Personally, I come twice a week to the office. I attend to team meetings, discuss about specific projects with my colleagues and more generally share my own experience with the others. Working at home is a real advantage but it does not suppress real life meetings.
